POSITION DESCRIPTIONS
President/Co-President (One for local and one for international)
- Oversee progress and accountability of project manager
~ Meet with the project managers at first or second week of the quarter to discuss short term
and long term goals
~ Make sure PMs are on top of finances and grants
~ Help PMs with recruiting new members
~ Discuss the future of the project
- Lead ESW-EXEC and General meetings
~ Attend and run all weekly general meetings
- Send out weekly announcements
- Act as the ESW public face to McCormick, PR, ESW advisor, and sustainability groups on campus<
- Organize and lead events
~ Lead organization of the kickoff meeting every quarter
Events Chair
- Plans and executes external group activities
~ Collaborative activities with SEED/ECO/ISEN/SWAG
~ Green Cup
~ Mt. Trashmore/Earth day
- Organizes meetings and gives tasks to events group
- Plans and executes internal group activities outside of regular meetings
~ Retreat (fall)
~ End of quarter potluck (Reading week every quarter)
~ At least one social outing a quarter: Movies, picnics
~ Collaborate with sustainability groups
Works with ESW Liaison
Energy Day Chair
- Responsible for Energy Day planning and execution
~ Contacts potential speakers
~ Schedules rooms, microphones, tables for the conference
~ Creates final Energy Day agenda
- Delegates and follows up with team members for other tasks including
~ Refreshment and Lunch Planning
~ Sustainability Fair Company Recruitment
~ Day-of Set-up
~ Speaker liaisons and introductions
ESW Liaison
- Liaison between ESW-NU and other organizations
- Advocates ESW projects and events to other groups
~ Attends meetings of other sustainability-related groups: SWaG, SEED, ECO, ISEN
(May also include Network for Evanston Future, EWB, EGB, Globe Med, and Evanston
Rotary Club)
~ Reports on activities and suggests places for collaboration
~ Works with Energy Day and Events chair to plan and promote events
Public Relations Chair
- Makes and organizes distribution fliers and publicity material for Events and Energy Day Chair
- Recruit new members and publicize recruiting events
~ Fall quarter: McCormick student groups fair (poster), Student activities fair Norris, Kick-off meeting
~ Winter quarter: Kick-off meeting
~ Spring quarter: Kick-off meeting
- Updates ESW Board (outside Student Commons)
- Takes pictures at events
- Maintains a collection of materials to keep the history of ESW-NU
~ Includes newspaper and magazine articles, photos, final reports, awards, and archives of meeting
presentations
~ Keeps binders in ESW Office
Webmaster
- Spring quarter: Update entire ESW website
- Asks for updates from local and international projects at 2nd week of the quarter (quarter update, meeting time, contact person)
- Leading the building of the internal website
Finance Chair
- Oversee project and events budget:
~ Meeting at the 1st-2nd week of the quarter with presidents and each project to go over finance
needs and plans
~ Oversee with fiscal responsibility
- Create and maintain database of funding opportunities
~ Keep it updated on internal website
~ Keep it updated in binder in the office
- Update sponsorship packet quarterly after finance meeting with teams
- Sign-off or give email approval to reimbursements
- Keep own excel document with all reimbursements
- Run a short meeting for exec on how to get reimbursed
- Write the Financial Report for ESW National (around June)
Project Managers (should already be involved in the project)
- Manage project schedule and milestones
- Hold weekly meetings and delegate tasks to the team
- Keep on top of finances: write grant and grant updates, write and update budgets throughout the quarter
- Lead trip planning
- Report to president
- Attend weekly general meetings
